The Client Experience Blueprint

Sixteen stages, so nothing rests on memory.

The blueprint runs identically for a long weekend and a month abroad. Its purpose is that the standard of care does not vary with how busy the studio is, what you are paying, or who happens to be on duty.

Rule one

Accuracy before beauty.

A stunning document with a wrong flight time is a failure, not a near miss. Every fact in your itinerary is checked with a person who can confirm it.

Rule two

Discretion over exposure.

Your value is in not being seen. No public client identity, ever, without written consent for that single use.

Movement I · Stages 1–4

Listen

Understand you, and be honest about limits before anything is promised. Nothing is designed until fit, consent and understanding exist in writing.

Enquiry and first response

Acknowledged within four business hours, the same day it arrives. Anything sent out of hours is answered the next business morning.

Qualification and the welcome guide

Gate G1

Consultation booked within two business days, or a plain no.

The consultation

The proposal window we name in this call becomes a promise, not an estimate.

Engagement and onboarding

Your agreement is issued within one business day. No passport or payment detail is held before it is signed.

Movement II · Stages 5–8

Design

Build the record of how you travel, converge on one direction, verify every claim at source, and present a single honest recommendation.

The four-part intake

Your profile is complete within two business days — pace, privacy, rooms, seats, tables, aversions.

The design session

The direction is confirmed with you in writing before a word is drafted.

Composition and verification

Every fact is verified with a person at the source. Closures, refurbishments and seasons are checked, not assumed.

The proposal

Gate G2

One considered direction with real trade-offs, delivered inside the window we committed to.

Movement III · Stages 9–12

Secure

Structure the money correctly, convert every hold into a recorded confirmation, and produce a document verified against source rather than against its own last draft.

Decision, agreement and funds

Gate G3

Invoiced within one business day of your approval. Our fee and your travel funds never share an account.

The reservation workflow

Nothing is reported to you as booked until it is reconfirmed with the operating supplier.

Change and cancellation

Acknowledged the same day, revised documents within two. A twenty-minute schedule shift is treated as a change.

Quality control and the journey guide

Every name, time and reference checked back to source — never against the previous draft.

Movement IV · Stages 13–16

Accompany

Close the gap between a correct plan and a correct departure, own the outcome in flight, and turn the journey into intelligence for the next one.

Pre-departure audit and pre-trip

Gate G4

Your final package arrives at least fourteen days out, after the audit rather than before it.

In-journey concierge

Gate G5

Anything urgent is answered immediately, at any hour. Anything else within two hours, in your time zone.

Return and reflection

Gate G6

A personal conversation within five days of your return, while the detail is still sharp.

Continuation

Your profile is updated within two days of the debrief, so the next journey begins where this one ended.

Nothing advances without evidence.

Six points in the journey where work stops until the evidence exists and is signed. They are the reason a late change does not become a bad arrival.

Before the consultation

Fit, budget realism, viable dates and aligned expectations.

Before you see a proposal

Availability and pricing verified, fees and exclusions stated in full.

Before money moves

Agreement signed, fund flow correct, every penalty term recorded in writing.

Fourteen days out

Every name, date, time, confirmation, transfer and contact verified against source.

Daily, in journey

Arrivals logged, the signature detail delivered, the duty line covered, incidents recorded.

Within five days of return

Feedback captured, profile updated, every supplier rated, money reconciled.
